Event logistics · Plan the handoffs

Give setup its own place on the schedule.

The guest arrival time is only one part of a rental plan. Equipment must arrive, the space must be ready, and the people arranging the event need time to finish their work. Build the schedule around those handoffs so delivery does not get mistaken for a finished setup.

Build your equipment list

Start with the hours you actually control

Ask the venue or property contact when access begins and when all equipment must be removed. An event ending at 10 p.m. does not establish that a rental team can arrive at that time, or that the venue remains available afterward. Record access and removal restrictions before requesting delivery arrangements.

Also confirm who can unlock the property, authorize unloading and answer a placement question. Put that person’s event-day contact details in the booking notes. Discuss the requested windows with CFER; the schedule becomes confirmed through the quote and booking arrangements, not through this planning example.

Separate delivery, placement and decorating

Delivery brings equipment to the agreed location. Furniture placement, setup, breakdown and moving equipment during an event are different tasks. Identify which are included for each selected item and which need a separate arrangement. Equipment with installation included should still have its installation scope confirmed.

Tablecloths, centerpieces, place settings and chair decorations may be handled by different people again. Give those people a start condition: for example, “begin table dressing after furniture is positioned and checked.” This is more useful than giving every vendor the same arrival time and hoping the jobs fit together.

Assign an actual agreed time or window to each row. The sequence is a planning framework, not a promise of CFER arrival times or installation duration.

Use a guest-ready deadline, not an assumed delivery time

Imagine guests arrive at 5 p.m. and your decorator wants an hour after furniture placement to dress the tables. The arithmetic points to furniture placement finishing no later than 4 p.m., before adding any agreed contingency. That does not mean delivery should be booked at 4 p.m.: unloading and the confirmed setup tasks must happen earlier.

Take that dependency to the venue and rental team, then work out a feasible schedule together. A large order, difficult access or a shared unloading area can change the plan. Do not copy a timeline from a smaller event and assume the same duration applies.

Make removal as clear as arrival

Before the event, identify who removes personal decor, clears tableware and prepares the rented items as required by the booking. Confirm whether the agreed services include furniture breakdown and where equipment should be left. Follow the actual linen-care and packing instructions rather than inventing a cleanup method.

Keep the collection route and agreed access available until the handoff is complete. If the venue’s deadline conflicts with the proposed removal window, resolve that before booking. An event finishing later than planned does not automatically change the rental team’s schedule or the venue’s closing time.

Send one version of the plan with your rental request

Include the date, address, equipment list, access restrictions, layout, guest-ready deadline and removal requirements. Note other vendors using the unloading route. When a confirmed detail changes, contact the team and update the shared plan rather than relying on an old screenshot or an unacknowledged message.

For Mount Dora, Eustis, Tavares, Apopka, Leesburg and Clermont events, request a quote with your timeline. If you plan to collect eligible items yourself, use the pickup checklist instead. Review linen quantities and booking FAQs before finalizing the complete order.
