The details that bring it together

A table linen rental checklist for every table.

Once you know which tables you are using, turn the linen plan into a clear order. This checklist helps you organize different sizes, colors and quantities without forgetting the cake table or counting one table twice. Start with the furniture list, then give each table its finishing touch.

Give every table a job

List guest dining tables first, then add the surfaces used for food, beverages, gifts, cake, registration and vendor work. A buffet table often needs a different cloth from a round guest table. Tables supplied by your venue belong on the same list if you want rental linens for them.

Record each table's shape, top dimensions and height. Do not rely on a room layout that simply says ‘round table’ or ‘banquet table.’ Use the linen size chart to choose the drop after you have the measurements. This checklist organizes the order; the size chart handles the fit.

Create one order line for each size and color

Different linen combinations should stay on separate lines even when all the tables are the same size. For example, four standard-height 60-inch round tables could use two 108-inch round linens in one color and two 120-inch round linens in another. The first choice gives a 24-inch drop; the second gives a 30-inch drop to the floor on a 30-inch-high table.

The example illustrates how to organize a mixed order. Select colors from the current options for each linen size and confirm availability for your date. A color shown for one product should not be assumed available for every other product.

Keep the palette easy to repeat

Choose a main color for most tables, then decide which tables need an accent. That could mean one treatment for guest dining and another for the cake or welcome table. Write the exact catalog color name on your worksheet instead of a broad description such as ‘dark purple.’

Screen brightness, photography and the surrounding light can change how a shade appears. If a close match to flowers, invitations or venue decor matters, ask the team how to confirm the color before finalizing your order. Do not assume two fabrics with similar names will look identical.

Separate tablecloths from the finishing layers

Count runners, overlays or other selected layers separately from the base tablecloths. One cloth per covered table is the starting point; an accent layer adds another item rather than replacing the cloth underneath. Only include the layers you actually intend to use.

A cocktail table needs its own plan because its height and styling differ from a dining table. If you want a gathered look with a sash, review the cocktail-table guide and the current table product's linen guidance. Confirm the cloth and any sash separately instead of assuming a styled photograph shows everything included.

Reconcile the list before requesting a quote

Add the linen quantities and compare them with the number of tables you intend to cover. Then check the totals by size and by color. Keep any spare linens on their own labeled line so they are not mistaken for an extra table or included without your decision.

If you have already added linens while choosing a table, check your cart before adding the same items again from the linen category. Keep the rental inventory as separate products; the goal is a clear list, not an automatic bundle that adds things you did not choose.

Make setup and return easy to coordinate

Share the finished worksheet with the person dressing the tables. Label each table or zone on the floor plan so different colors and lengths reach the right place. Confirm who is placing the linens, the venue access window and the return instructions provided with your order. Do not assume rental delivery includes decorating every table.

For an event in Mount Dora, Eustis, Tavares, Apopka, Leesburg or Clermont, send your date, location and linen list together. Browse available linens, review your table choices, and request confirmation of the quantities, colors and final pricing.
