Good company. A little holiday magic.

Make room for a memorable Christmas party.

From a family dinner to the office holiday celebration, build a setup that gives guests room to eat, mingle and enjoy the moments you have planned.

Plan your Christmas rentals

Choose the kind of Christmas party you want to host.

A seated family dinner, an office celebration and an open-house gathering need different layouts. Start with the activities: will everyone eat at once, mingle throughout the evening, watch a gift exchange or finish the night dancing?

For a seated meal, plan a dining place for every guest. For an open house, keep comfortable seating available and spread food and drinks away from the entrance. Cocktail tables can give mingling guests a place to set a glass, but they do not replace dining seats for people who need them.

Build the room around moments, not just furniture.

Draw the usable space and mark doors, steps, fixed furniture and routes to restrooms. Place the largest activities first: dining, a gift exchange, entertainment or a dance area. Then add tables and chairs with room for people to move between them.

Party formatWhat to plan
Family Christmas dinnerDining seats for everyone, buffet space and a separate dessert or drinks station
Office holiday partyArrival area, meal seating, clear sightlines for remarks and a gift-exchange zone
Drop-in open houseSeveral gathering spots, accessible seating and food stations away from doorways
Dinner followed by dancingDining furniture and the dance floor included in the same measured plan

Confirm venue layout requirements before ordering. Browse tables and chairs together so quantities and dimensions work as a complete arrangement.

A practical starting list for an office Christmas dinner.

For an example with 40 guests and a chosen layout of eight seats per dining table, you would need five dining tables and 40 chairs. That is planning arithmetic—not a statement that every rental table seats eight. Confirm the actual table dimensions, chair spacing and room layout.

Add the surfaces your program needs: food service, drinks, desserts and gifts. Ask the caterer for the footprint of serving equipment before deciding how many buffet tables to rent. If gifts will be distributed during a presentation, place that table where it will not block the speaker or an exit.

Subtract only furniture the venue has confirmed you can use. Include setup and removal access times in your rental request, especially if the building closes soon after the party.

Create a festive look without crowding the table.

Choose one main linen color and repeat a small number of holiday accents. White linens with evergreen and red details create a classic Christmas look; a neutral setting with subtle metallic accents can feel quieter. Keep decorations low enough for conversation and leave space for plates, glasses and shared dishes.

These are styling ideas, not included decorations or tableware. Compare available rental linens and use the linen size chart after you select your tables. Check decorative-lighting and candle rules with the venue; battery-operated accents can be considered where open flames are unsuitable.

Make room for gifts, music and the end of the night.

A gift exchange can bring everyone into one part of the room at once. Leave a gathering area and decide where gifts will wait before the activity starts. Give refreshments their own space so guests do not need to walk through the exchange to reach a drink.

If dancing is part of the plan, compare the available dance-floor sizes before finalizing table placement. CFER dance-floor pricing includes setup and removal; delivery is separate. Share your proposed surface and access details so the setup can be reviewed.

Agree on who clears personal decorations, food and gifts, and confirm when rented equipment must be ready for collection. The party end time and venue departure deadline may be different.

Plan an outdoor Christmas gathering for changing conditions.

For a patio or backyard party in Central Florida, decide where guests can gather if conditions change. Include lighting for pathways and the dining area if the celebration continues after dark. Keep an indoor or covered fallback in the plan rather than relying on a forecast far in advance.

If you need a tent, send the setup-area measurements, surface and access information. Ask about suitable lighting options for the selected tent and order. Do not assume heating, power, lighting or holiday decorations are included.

Confirm holiday logistics with your quote.

Send your event date, address, guest count, planned activities and rental quantities. Include the venue access window and the time equipment must be removed. Confirm delivery or eligible pickup, setup services and any holiday scheduling restrictions in your quote.

Central Florida Event Rentals serves Mount Dora, Eustis, Tavares, Apopka, Leesburg, Clermont and surrounding Central Florida communities. Request availability for your exact date and location; this guide does not promise Christmas Day service, a fixed booking deadline or a standard holiday package.

For food and drink stations, use our serving-table checklist. For a seated dinner, compare round and rectangular layouts.

Christmas party rental questions

Can one setup work for dinner and a gift exchange?

Yes, if the layout leaves an appropriate gathering space and guests can see the activity. Plan both moments before placing the dining tables rather than assuming there will be room afterward.

Are decorations and tableware included?

The image is styling inspiration. Review the items listed in your quote; do not assume trees, decorations, plates, glasses or centerpieces are included with furniture or linens.

Can I collect rentals for a holiday party?

Pickup eligibility depends on the equipment and available arrangements. Ask the team to confirm your collection and return schedule, including holiday hours, in the quote.
