Start with the purpose of each table
Separate tables used for mingling from those reserved for a guest book, welcome display or another specific purpose. A table covered by a display is not also free space for guests. List each function before choosing a quantity, and identify which tables will need to remain in place throughout the event.
Keep the main routes open
Sketch the entrances, exits, buffet, bar and restrooms before placing tables. Give guests a direct route between these areas. Avoid placing a gathering table immediately beside a doorway or at the end of a food queue, where people stopping to talk can interrupt movement. Share the sketch with your venue; its access and clearance requirements should guide the final arrangement.
Balance standing and seated areas
Cocktail tables can support a mingling area, but they do not replace a dinner seat for every guest. Include a seated option for people who prefer or need it, and keep it connected to the conversation. If a meal is part of the event, plan the dining tables separately. For a reception with several phases, note which areas will be used at the same time.
Check the height and linen fit
Confirm the dimensions and height of the exact table on its product page before selecting a cover. Similar-looking round tables may serve different purposes. If you want seating beside a table, confirm that the chair and table heights work together; do not assume a dining chair fits a cocktail-height table. Tell us the look you want and ask about compatible linen options.
Plan for the actual location
For an outdoor gathering, share the surface and intended placement with your rental request. A photograph of the space can help explain slopes, narrow access or obstacles. For an indoor venue, confirm the time equipment may arrive and when it must be removed. Equipment availability and delivery or pickup eligibility are confirmed with the quote.
Build a clear request
Send your date, city, guest count, event format and a simple layout. Break the list into guest-use tables and dedicated display tables, then add dining tables, chairs and linens separately. This makes it easier to review the order without double-counting equipment. Central Florida Event Rentals can review your rental list for events in Mount Dora, Eustis, Tavares, Apopka, Leesburg and Clermont.
