Choose the setting before the lighting pattern
First decide whether you need a tent with a canopy or an open-air lighting frame. These solve different planning needs. A covered tent defines your sheltered event space; an open-air frame supports the lighting arrangement without a roof. If you choose an open-air setup, make a separate plan for shade, rain and changes to the event schedule.
Central Florida Event Rentals offers open-air bistro lighting frames for installation on grass. The frame and lighting are the rental components; a dance floor, tables, chairs and linens are separate selections. Setup and removal on grass are included. Review your quote for the full scope of your order.
Sketch the areas that need light
Start with a simple drawing of the dining area, conversation space, food service and any dancing. Add the route guests will use between the house or venue entrance and the gathering. Decorative overhead lights help create atmosphere, but do not assume they provide every kind of lighting an event needs.
- Dining: identify the tables and where guests will sit.
- Food and drinks: ask the caterer what working light they need.
- Walking routes: review steps, changes in level and exits with the venue.
- Dancing and photos: coordinate the desired effect with the DJ or photographer.
Share these zones with the rental team so the lighting request can be reviewed as part of the whole layout.
Compare a perimeter look with crossing strands
Perimeter lighting follows the edges of the planned area, while crossing strands draw the eye toward its center. When requesting lighting inside a rented tent, include the tent size and a sketch of the pattern you have in mind. Confirm the supported installation and what is included before planning around a particular photograph.
For the open-air frame packages, use the current product page to review the illustrated arrangement. Multiple frames need room between structures as well as space for their supports. Do not treat the dimensions of one frame as the complete installation footprint or assume a larger package forms one continuous roof.
Plan power and access together
Mark the proposed power source on your sketch and describe where it sits relative to the equipment. Tell the rental team about gates, steps and paths along the installation route. Have the venue identify an appropriate electrical supply and any rules for temporary lighting; the distance to an outlet alone does not confirm that the supply is suitable.
Ask who is providing cables and how they will be routed. Keep the installation plan with the rental team rather than planning to attach strands to trees, fences or rental equipment yourself. Any additional lighting, power equipment or installation requirements should be confirmed in the quote.
Check the plan at the time guests will use it
A lawn that feels bright in the afternoon can look very different during dinner. If possible, review the space near your event's planned evening hours. Note existing lighting, dark transitions and reflections near windows or water. This helps you describe what you want without guessing a bulb count or promising that decorative lighting alone will illuminate the entire property.
Share the event start and finish times and the venue's access window. Let us know which areas must be ready first and when equipment can be removed.
Send a lighting request that is easy to review
Include your date, event address, usable grass or tent dimensions, guest layout, desired lighting pattern, power information and a few site photographs. Central Florida Event Rentals serves Mount Dora, Eustis, Tavares, Apopka, Leesburg and Clermont. Availability and final arrangements are confirmed for your specific event.
Browse event lighting, compare tent rentals, or use the outdoor dance-floor guide if dancing is part of the evening. Add each item you need separately so your quote reflects the complete plan.
