The details that bring it together

A place for every part of your celebration.

A guest seating count does not tell you how many tables your event needs. Food, drinks, cake and gifts each use space, and a well-planned serving area keeps those activities from competing with seated guests. Use this checklist when preparing a table rental request for your Central Florida celebration.

Plan your table rentals

Start with the service plan, not an extra-table guess

Ask whoever is handling food for a list of the equipment they intend to place on tables. Include serving trays, warming equipment, plates, utensils and any preparation space. Have that person confirm the footprint and support requirements of their equipment before choosing rental tables. A catered buffet, a family-style meal and individually plated service can require very different arrangements.

Draw the serving area on your room or yard plan. Mark doors, fixed furniture and the paths guests and staff will use. Do not assume the entire wall can become a buffet: access to exits, venue equipment and service areas still matters. Your venue should confirm the final layout and required clearances.

Give drinks and cake their own place

A separate beverage station can keep guests refilling a drink out of the food queue. Locate it where spills will not interrupt food service or a busy doorway. If you plan a cake or dessert display, decide whether it will remain in place throughout the event or replace another station later. A table can serve two purposes only when the timing, clearing and reset are planned.

Keep a gift or welcome table on the rental list if you need one. These are easy to overlook when the first estimate includes only dining tables. Check which pieces your venue supplies, including their actual dimensions, before ordering additional furniture.

Turn the plan into a clear table list

  • Guest dining: quantity, table shape and selected dimensions.
  • Food service: quantity and equipment footprint confirmed by your food-service provider.
  • Beverages: separate station or shared space, with its required dimensions.
  • Cake, gifts and welcome: list each purpose and whether any table is intentionally reused.
  • Venue furniture: subtract only the pieces the venue has confirmed you may use.

For example, an event may need dining tables plus a food station, a drink station and a welcome table. This is a planning example, not a standard package or a promise that one table per station will fit your equipment. Match each station to the dimensions of the product you select.

Choose linens after the table dimensions are settled

Confirm the table shape and size before selecting a covering. Consider the appearance you want and whether staff need access underneath. Review our linen size chart rather than assuming one cloth fits every table. Keep heat sources and food-service equipment subject to their manufacturer's instructions and your venue's requirements.

Include access and timing in the quote

Provide the event address, date, start and end times, and the venue's access window. Mention stairs, gates or a long route to the setup area so the order can be reviewed with those details. Check delivery or pickup eligibility for your selected equipment in the quote; do not assume the same arrangement applies to every item.
