Name the people responsible for setup and return
Assign someone to receive the linens, someone to dress the tables and someone to organize them after the event. One person may handle all three jobs, but the responsibility should be explicit. Rental delivery does not by itself tell you who will place every tablecloth or clear decorations at the end.
Share the confirmed rental list, table plan and venue access times with those people. Include the number the onsite helper should use if a delivery or item question comes up. Keep the agreed collection or return instructions with that same plan rather than relying on a verbal message passed between helpers.
Check the order while changes are still manageable
Compare the received items with the confirmed list before the room is fully dressed. Check counts by size and color, including runners or overlays ordered separately. If something does not match, contact the team before improvising with an unsuitable size or moving fabric from another planned table.
Use the linen order checklist as the reference for quantities. This setup checklist starts after those choices are made. Keep clean linens together and away from the work area until their tables are ready, so they are easier to count and do not get mixed with personal decorations.
Dress tables in the same order as the room plan
Place the empty tables in their approved positions first. Confirm that the people handling the furniture have finished moving them, then match each table or zone to its assigned linen. Place the base cloth before an overlay, runner or display items. This avoids having to unload a decorated table to correct the covering underneath.
For a mixed order, label the plan with the actual size and color, not just “round linen.” For example, tables A and B might use 108-inch round cloths while tables C and D use 120-inch cloths. That example does not add extra linens automatically; it shows how to keep selections distinct. Use the size chart if a table substitution changes the fit.
Keep the rental fabrics separate from decorations
Tell the decorator which items are rented and which belong to the customer. Before using clips, adhesives, candles, heat or other treatments near a rental cloth, confirm the intended method with the rental team and venue. Ask before applying stain treatment or attempting to wash an item yourself.
If a spill or damage occurs, let the team know what happened and follow its handling instructions. This guide does not establish a damage charge, cleaning guarantee or permission to use a particular product. The rental agreement and item-specific instructions govern those details.
Make clear-down a countable process
Remove food, glassware, decorations and personal belongings before gathering the cloths. Check that napkins, utensils or small decor pieces are not accidentally folded into them. Keep rental linens separate from trash and from fabric owned by the venue or decorator.
The current 90-inch square overlay listing directs customers to place used linens in the laundry bags provided by CFER. Confirm the bags and instructions for your complete order when it is handed over. If an item is wet or needs special handling, ask the team how it should be packed rather than improvising a storage method.
Reconcile the returned count with the original list. Note an item still in use or an unresolved discrepancy so the next person does not mistake an incomplete pile for the full order.
Finish with one clear return handoff
Confirm who will be present for collection or who will bring back eligible pickup items, the agreed time and the location of the packed order. Keep the bags accessible to that person. Do not assume that leaving them at a venue reception desk changes the agreed return arrangements.
For a celebration in Mount Dora, Eustis, Tavares, Apopka, Leesburg or Clermont, include your venue’s clear-out deadline when requesting the rentals. Browse linens, keep the selection matched to your tables, and ask the team to confirm setup and return responsibilities before the event.
