Guest-list planning · Update the whole order

More guests? Fewer guests? Start with the seating plan.

A changed RSVP total can affect more than the chair count. The right adjustment depends on where those guests will sit, what happens at the same time and which rental lines depend on the tables. Use this checklist to turn a guest-list change into one clear request.

Keep the current quote as your starting point

Open the most recent quote and keep its number with your working list. Write down the current quantities, table models, linen sizes and colors before changing anything. A rough shopping list from an earlier planning stage may no longer match the reservation.

Separate confirmed guests from people still deciding. Also identify hosts or vendors who need a seat during the meal but were not included in the invitation total. Do not count the same person again because they attend both the ceremony and dinner. If those phases use separate chair sets, however, the equipment plan must still account for both sets.

Rebuild the table groups before changing the table total

Table needs are based on the seating arrangement, not simply on the difference between two RSVP totals. Suppose a provisional plan has 64 diners at eight tables, with eight planned places at each table. If the count drops to 60, eight tables may still suit the groups. Seven tables at the same planned eight places would provide only 56 places. The example uses eight places as a planning assumption, not a universal capacity for every table, chair or place setting.

Try the actual family or guest groups against the plan. Leave room for the chosen place settings and anyone who needs a different approach to the table. Review round-table sizes or rectangular-table lengths if changing models would work better than changing quantity.

A smaller guest list does not automatically mean a smaller cake table, registration desk or buffet. Keep service furniture tied to its job. If a dining table is removed, check its linen line; if a table changes size, check the covering even when the total linen quantity stays the same.

Ask for a change; do not assume it is confirmed

Send the quote number, event date and a list showing the current and requested quantities. Be explicit about whether the request replaces an earlier change. Ask CFER to confirm availability, the updated total and any effect on the arrangements already agreed.

Timing, availability and the terms of your booking determine which changes can be accepted. This guide does not set a cancellation deadline, promise a reduction in charges or guarantee that extra stock can be added. Keep using the confirmed order until the revision is accepted.

Give everyone the same final version

Once the revised quote is confirmed, update the seating plan, linen list and caterer’s working guest count. Label the revised plan with a date so the setup team does not receive two different versions. Keep guest names in your own seating document; the rental request normally needs quantities and equipment details.

If you are still building the initial plan for Mount Dora, Eustis, Tavares, Apopka, Leesburg or Clermont, request a quote with your event date and location. For an existing order, contact CFER with its quote number rather than submitting a second unrelated request.
