Planning your celebration

Give every guest a place in the ceremony.

A ceremony seating plan needs to account for who is sitting, how people enter and what happens after the last row stands up. Before choosing rental quantities, separate the ceremony requirements from the reception seating plan. They may use the same chairs, but only if the timing and moving arrangements make that practical.

Browse rental chairs

Count the people who need seats

Start with the guests expected at the ceremony, then identify any additional seated participants. Mark reserved seats within that count rather than adding them twice. Decide how to handle late responses before confirming your order. If the ceremony and reception guest lists differ, keep two clearly labeled counts so your quote reflects the actual plan.

Draw the aisle before the rows

Put the ceremony focal point, entrance and main aisle on a sketch first. Then arrange the rows around them. Include space for guests who need an accessible seating position and keep their companions nearby. Ask the venue or coordinator to confirm aisle, exit and accessibility requirements; a rental quantity by itself does not establish that a layout is suitable.

Choose chairs for the setting

Use the current chair catalog to compare available styles and product details. Share whether the ceremony will be indoors or outdoors and describe the ground surface. If appearance matters from both the front and back of the rows, look at the product photographs with that in mind. Confirm any decoration attachments with the rental team before planning them.

Decide whether chairs will move

Reusing ceremony chairs at the reception can reduce the number needed only when there is a workable transition. Identify who will move them, when guests will leave the space and whether the reception area will be ready. If guests need both spaces at once, separate seating may be necessary. Do not assume delivery includes placing chairs in rows or moving them during the event; confirm the services in your quote.

Make the plan easy to follow

Give the person arranging the ceremony a sketch showing the number of rows, seats in each row, reserved positions and any intentionally open spaces. Label which direction guests face. Keep a copy with your event notes so that a last-minute change does not turn into guesswork. Confirm the venue access window and equipment collection arrangements before the event day.

Request the ceremony and reception together

Include your wedding date, location, ceremony start time and reception plan when requesting a quote. Tell us whether you intend to move chairs and which services you need reviewed. Browse the available chairs first, then add tables and other reception rentals as separate items. Your final quote confirms equipment availability, pricing and the agreed arrangements.
