Delivery planning · Walk the full route

Plan the route from the truck to the setup.

A room can fit the rental layout while the route into it creates a separate problem. Before arranging delivery, walk from the proposed unloading point to every setup area. A few labeled measurements and photos help the rental team review the actual route.

Begin where unloading can actually happen

Identify the proposed stopping point and ask the venue or property contact whether unloading is permitted there. Note any loading appointment, gate code procedure, parking restriction or shared dock. Measure the approximate route length to the setup area rather than describing the space as “close to the driveway.”

Tell the team when a route crosses an occupied lobby, business entrance or other space that must stay usable. A parking location shown on a map does not establish permission to unload there. Keep private access codes in the confirmed booking communication, not on a public event page.

Measure the narrowest opening and the turns

Record the clear opening of gates and doors with them in the position that will be available on delivery day. Door frames, fixed handles and objects in the passage can reduce the usable opening. Photograph the narrow point with the measurement identified, then take a wider photo showing the approach and turn beyond it.

Do not compare only the tabletop width with a doorway. Folding, transport orientation, carts and the room needed to turn can change the handling plan. Ask the rental team to compare the route against the actual equipment and handling method. Avoid forcing an item through a tight opening or assuming it can be disassembled on arrival.

Describe level changes and elevator access

Include steps, stairs, curbs, ramps, slopes and thresholds along the route. State the floor where the event will take place. For an elevator, obtain the door opening, usable interior dimensions, posted capacity and any service-elevator booking requirements from the building contact.

Provide that information for review; a measurement alone does not establish that the route is suitable. Do not promise that a helper can lift everything over an obstacle or that guests will be available to move equipment. Handling arrangements and any additional services need to be confirmed with the rental team.

Mark the route on a simple sketch so photographs A, B and C can be matched to their locations. Keep measurements in one unit throughout, and distinguish a rough estimate from a measured value. For a tent area, also use the surface-planning guide; transport access and installation suitability are separate questions.

Confirm the route again before delivery

A clear route during the first visit may later be occupied by parked cars, decor, construction materials or another vendor. Agree on who will keep the route available and who can answer an access question on the day. Tell the rental team promptly if the event moves to a different room or entrance.

Delivery and access details form part of the arrangements reviewed with your quote. This checklist does not guarantee a particular route or include extra carrying, stairs or furniture placement in a price. For events in Mount Dora, Eustis, Tavares, Apopka, Leesburg or Clermont, request a quote with the equipment list, address and access notes. If the order already exists, send the notes with its quote number.
